The four Flex tiers
Essentials is self-service payroll with tax filing and an employee app. Select adds a dedicated payroll specialist, which is the feature Paychex customers praise most. Pro adds HR tools, onboarding and garnishment services. Enterprise is custom for larger teams. If you want a human to call, start at Select.
Fees that are not in the headline price
- Setup fee, commonly around $200 (negotiable)
- Quarterly tax filing fees on some tiers
- W-2 and 1099 fees at year end
- Time and attendance add-on
- Multi-state and local tax add-ons
Ask for an itemized annual total. Paychex will provide one.
How to negotiate
- Bring an ADP or Gusto quote; Paychex is known to match or beat competitors.
- Ask for the setup fee to be waived.
- Bundle workers' comp or a 401(k) if you need them; bundling unlocks discounts.
- Ask about the referral program if another Paychex client sent you.
Paychex vs. the field
Paychex is often cheaper than ADP for small teams and more service-heavy than Gusto or OnPay. It is the strongest choice when you want a dedicated specialist and a clear path to a PEO. See ADP vs Paychex and Gusto vs Paychex.

Frequently asked questions
Is Paychex cheaper than ADP?
For most small businesses, yes. Paychex bills monthly rather than per pay run and publishes an entry price. ADP's first-year promotions can close the gap, so compare 12-month totals.
Does Paychex charge for W-2s?
Year-end form fees are common on Paychex plans. They can often be negotiated away at signing.
What is Paychex PEO?
Paychex PEO is a co-employment arrangement where Paychex becomes the employer of record for benefits, workers' comp and HR compliance. It costs more per employee but gives small businesses access to large-group benefit rates.
